The Config.SYS file must have the following commands: FILES=20 (May be higher) BUFFERS=20 (May be higher) 0.2 Ansi.SYS The file ANSI.SYS should also be part of your Config.SYS file. The command is: Device=ANSI.SYS 0.3 Install Procedures 0.3.1 Floppy Disk Make a backup copy of the Membership Disk. 0.3.2 Hard Disk : Copy the files to your hard disk. 0.4 Program Execution Floppy Disk System: In order to use a data disk in drive B: you must first place a string in the Environment Section. This string is normally placed in the AUTOEXEC.BAT file. It tells the program where to find its Overlay Files. Here is the command. SET CMSOVR=A: Place your Program diskette in Drive A: Place your Data diskette in Drive B: From drive B: type A:MEMBER Hard Disk Systems: To run the Church Membership System: Type Member If you wish to run multiple data files you must set a string in the Environment Section. This string will tell the Member Program where to find its Overlay Files. The command is. SET CMSOVR=C:\CHURCH <- enter the name of the directory where you placed the member programs. You must also set a path statement to tell DOS where to find the MEMBER program. PATH C:\CHURCH <- name of program directory Now log on to your DATA directory and type MEMBER. The program will create NEW data file sin this directory. *NEW* To use the Automatic Execution function simply press the F1 Key. To turn it off Press the F1 Key again. Otherwise, place the cursor bar over the desired option and press enter. If this is the first installation of this system then the Edit System menu will appear. See 5.0 Edit System. 0.5 Data Files All necessary data files will be created upon execution if they do not exist. 0.6 Index Files An option is supplied on the System menu for Re-Indexing Data Files. 1.0 Member Option Page 0002 ------------------------------------------------------------------------ 1.1 Enter Member Record This option allows the user to enter new members into the system. ** Note: Names should be entered last name first followed by a comma, then first middle name. Example: Byxbe, Ronald B. Enter all information and press the Page Down key. This will enter the record into the member file. Use the Escape Key to abort. The member record will NOT be entered into the member file. Dates: All dates should be entered Month/Day/year Family Codes: 01=Husband, 02=Wife, 03-09 = Children, 10-99 = Other Include in Mail Out: If you want this person to print on the church labels answer with 'Y' otherwise answer with 'N'. Codes: Several codes must be made up by you, the user. I use the following codes: How Joined: 'L' = by Letter, 'B' = by Baptism, Etc. Church Status: 'R' = Resident, 'N' = Non Resident, 'V' = Visitor, 'P' = Prospect, Etc. Department Pos: 'DIR' = Director, 'OUT' = Outreach Leader, 'SEC' = Secretary, 'REC' = Records, Etc. Class Position: 'MEM' = Member, 'OUT' = Outreach, 'TEA' = Teacher S.S. Status: 'V' = Visitor, 'A' = Active, 'I' = InActive Organizations and Committees: Spell out as full as possible. Deacon, Flowers, Outreach, Choir, Baptismal, Council, Budget, Etc. 1.2 Modify/Delete Option This option allows the user to modify or delete a member record. Make any chages and press the Page Down key. To delete the record press the Function 4 Key. To search for a particular member press the Function 1 Key, type any portion of the member's name, and press the enter key. The Page Down Key will move forward one member and the Page Up Key will move backwards one member. ** If you change the Member's name you will have to rebuild the Member Index File. To do this select the Rebuild option on the Main Menu. 1.3 Browse Option This option allows the user to browse through the member file. To move forward press the Page Down Key. To move to a particular member press the Function 1 Key and enter the member's name. 2.0 Reports Option Page 0003 ------------------------------------------------------------------------ 2.1 Member Reports 2.1.1 Alpha List This option will print an alphabetical list of all records in the member file. 2.1.2 Status Report This option will print all members with a given church status. You will be asked for the church status code. If you wish to print all visitors you may enter the code of 'V' assuming you used this code to mean visitors. For a list of all prospects you may enter the code of 'P' assuming this is your code for prospects. 2.1.3 Birthday Report This option will print a list of all persons with a birthday falling between two dates. You will enter the beginning date and the ending date. 2.1.4 Anniversary Report This option will print a list of all persons with an Anniversary falling between two dates. You will enter the beginning date and the ending date. 2.1.5 New Church Members This option will print a list of all church members who have joined between two dates. You will enter the beginning date and the ending date. 2.1.6 Organization/Committee Report This option will print a report of all members of a given committee or organization. You will be asked to enter the organization or committe to be printed. 2.0 Reports Option Continued Page 0004 ------------------------------------------------------------------------ 2.2 Sunday School Reports 2.2.1 Rolls A. Department: This option will print all Sunday School members in a given department. You will be asked for the department. B. Class: This option will print all Sunday School members in a given class. You will asked for the class. 2.2.2 Position Report A. Department: This option will print all Sunday School members who have a department code that matches the one you enter. Example: If you wanted a list of all department directors you may enter 'DIR'. B. Class: This option will print all Sunday School members who have a class code that matches the one you enter. Example: If you wanted a list of all your teachers you may enter 'TEA'. 2.2.3 Status Report This option will print a list of all who have a Sunday School status code that matches the one you enter. Example: To print all inactive members you may enter 'I'. For all the visitors you may enter 'V'. 2.2.4 New Sunday School Members This option will print all members who joined between two dates. 2.2.5 Non Sunday School Members This option will print all who are not members of Snday School. 2.3 Church Labels This option will print everyone in the Membership file that has 'Y' for "Include in Mailing Labels". 3.0 - 5.0 Options Page 0005 ------------------------------------------------------------------------ 3.0 Rebuild Option This option allows the user to rebuild his membership file index. Any time you change the members name you must run this option. 4.0 Create Option This option will create the membership file. If the membership file already exists it will be DESTROYED. Use this option only when you wish to destroy the old file and replace it with a new empty file. 5.1 Edit System Record 5.1 Change Church Name This option allows you to change the name of your church. Enter the corrected name and press . 5.3 Change Printer Codes This option is mandantory. You must tell the system what codes are used to set your printer to condensed print. You must also give to codes needed to cancel condensed print. These codes can be found in your printer reference manual. The condensed print codes are for 15cpi (15 characters per inch). Most printers will allow the 10cpi (10 characters per inch) to cancel the condensed print mode. If your printer allows 15cpi and 17cpi use the 15cpi codes.
